Terms and Conditions of Entry
Effective from 7 September 2026.
These terms apply to everyone who registers for or attends
Zak Expo at Yashobhoomi (IICC), Dwarka, New Delhi, 10–12 December 2026 ("the Event"),
organised by Zak Trade Fairs & Exhibitions Pvt. Ltd. ("the Organiser").
Registering for the Event means you accept these terms. Sections 1 to 6 apply to everyone.
Section 7 applies only to paid tickets.
1. Who may attend
1.1 The Event is a trade exhibition for industry professionals aged 18 and over.
1.2 Children below the age of 18 and infants in arms are strictly not permitted inside the
exhibition halls, at any time, including during build-up and breakdown. This is a safety
requirement and there are no exceptions.
1.3 The right of admission is reserved by the Organiser. The Organiser may decline or
withdraw admission without giving reasons and without any obligation to refund.
1.4 The Organiser and its security staff may ask to see valid government-issued photo
identification (for example Aadhaar, PAN, passport, or driving licence) at any time — at the
entrance, or anywhere within the Event venue — to verify that you are the person named on the
badge, or where there is a security concern. Declining to show identification is not an offence,
but the Organiser may then decline or withdraw your admission under clause 1.3.
1.5 Your ID is inspected and returned. It is not recorded, copied, photographed or retained.
The single exception is a security or safety incident that the Organiser reports to the venue
operator or to the police: only then may your name and identification details be written down,
and only for that report.
2. Your badge
2.1 Your badge is personal to you and is not transferable. Sharing, lending or copying a
badge will result in it being cancelled and entry refused.
2.2 Your badge must be worn and clearly displayed at all times while you are in the
exhibition halls and the surrounding Event areas.
2.3 A lost badge can be reprinted at the registration desk once your identity is verified. The
Organiser may charge a reissue fee.
2.4 The QR code on your badge is scanned on entry and exit. Allowing an exhibitor to scan your
badge at their stand shares your contact details with that exhibitor — see the Privacy Policy.
3. Security and conduct at the venue
3.1 The Organiser reserves the right to frisk badge holders and to inspect bags at the
entrance and anywhere within the Event venue, for security reasons.
3.2 Photography, filming and audio recording are strictly prohibited without prior written
permission from the Organiser. This protects exhibitors' unreleased products and designs.
Accredited press must obtain permission in advance.
3.3 Food and beverages may not be taken into the exhibition halls. Catering is available in
the designated areas.
3.4 You must comply with all safety announcements, venue regulations, and any health and safety
requirements imposed by the Organiser, the venue, or Indian government authorities.
3.5 The Organiser may remove any person whose conduct is disruptive, unlawful, offensive,
unsafe, or in breach of these terms — without any refund.
3.6 Canvassing, distributing literature, or selling anywhere other than from a contracted
exhibition stand is not permitted.
4. Your belongings
4.1 The Organiser does not accept responsibility for the loss of, theft of, or damage to any
personal belongings brought to the Event. Please do not leave items unattended.
5. Changes, postponement and cancellation
5.1 The Organiser may change the Event programme, timings, floor plan, speakers or features
without notice. Such changes do not entitle you to a refund.
5.2 If the Event is postponed, your registration remains valid for the rescheduled dates.
5.3 If the Event is cancelled entirely by the Organiser, section 7.4 sets out what happens
to paid tickets.
6. Force majeure and liability
6.1 The Event is subject to force majeure. The Organiser is not liable for any failure to
perform its obligations where that failure is caused by an event beyond its reasonable control
— including acts of God, natural disaster, flood, earthquake, fire, war, terrorism, civil
unrest, strike, epidemic or pandemic (including any government restriction or lockdown), failure
of the venue, or compliance with any law or governmental order in India.
6.2 The Organiser, its employees and agents are not liable for personal injury, loss or damage
suffered at the Event, except where it is caused by their negligence, and except for any
liability which cannot lawfully be excluded.
6.3 Nothing in these terms limits any right you have under the Consumer Protection Act, 2019
or any other law that cannot be excluded by agreement.
7. Paid tickets only
This section applies only if you have purchased a paid ticket or paid day passes. If you hold
a free visitor registration, it does not apply to you.
7.1 Purchase
A binding contract is formed when the Organiser confirms full payment and issues your ticket or
confirmation. Ticket prices are inclusive of applicable GST unless stated otherwise. A tax
invoice is issued to the details you supply at checkout; please make sure your GST number, if
you need one on the invoice, is entered correctly before paying, as invoices cannot be reissued
with different particulars after the Event.
7.2 Refunds
All paid ticket sales are final and non-refundable. In particular, no refund is due where:
- you are unable to attend for personal reasons, including illness, work commitments or travel
disruption;
- your ticket is unused, lost, damaged or stolen;
- entry is refused or withdrawn because of a breach of these terms;
- the Event programme, timings or floor plan change (section 5.1);
- the Event is changed, postponed or cancelled (section 7.4).
The Organiser is not obliged to offer credit, exchange or any alternative in place of a refund.
This does not affect your rights under section 6.3.
7.3 Transfer and resale
A paid ticket may be transferred to another individual only with the Organiser's written
permission and by the process the Organiser specifies. Reselling a ticket above its original
price is prohibited; a ticket resold in breach of this is void and the bearer may be refused
entry without refund.
7.4 If the Event is changed, postponed or cancelled
The Organiser reserves the right to alter the dates, venue, opening hours, layout, programme
or content of the Event, to postpone it, or to cancel it. Where the Event is postponed, a paid
ticket remains valid for the rescheduled dates.
Registration and ticket fees are non-refundable. This applies whether the Event proceeds
as advertised, is changed, is postponed, or is cancelled, and whether or not you attend.
The Organiser accepts no liability for any loss or expense you incur as a result of a
change, postponement or cancellation — including travel, accommodation, visa and any other
cost — whether or not the cause is a force majeure event under section 6.1. Sections 6.2 and
6.3 continue to apply.
7.5 Day passes
Paid day passes are valid only for the days selected at the time of purchase. An unused day
cannot be carried forward, exchanged for another day, or refunded. Additional days may be
purchased at the registration desk during the Event, subject to availability.
8. Data protection
The Organiser processes your personal data as described in the Privacy Policy, which forms
part of these terms. Registering means you have read it.
9. Governing law
9.1 These terms are governed by the laws of India.
9.2 Any dispute arising out of or in connection with them is subject to the exclusive
jurisdiction of the competent courts at Chennai, Tamil Nadu.
10. Contact
Questions about these terms: events@zakgroup.com.

Effective from 7 September 2026.
This policy explains what personal data Zak collects when you

at Yashobhoomi (IICC), Dwarka, New Delhi, 10–12 December 2026.
- Under India's Digital Personal Data Protection Act, 2023 ("DPDP Act") we are the
Data Fiduciary for your personal data.
- Where you are in the European Economic Area or the United Kingdom, we are the
Controller under the UK/EU General Data Protection Regulation ("GDPR").
Both frameworks apply to this event because our visitors and exhibitors are mostly Indian but
include international delegates.

We aim to acknowledge any request within 7 working days and resolve it within
30 days. If you are not satisfied, you may complain to the Data Protection Board of
India, or to your local supervisory authority if you are in the EEA/UK.
3. What we collect
You give us:
- Name, job title, organisation, and the industry segment you work in
- Email address, mobile number, country and city
- Which of the three shows you are attending, and which days
- For paid registrations: billing details, GST number where supplied, and payment status

Marketing is opt-out. Registering enrols you in news about future Zak events. You are told
so at the point of registering, every message carries a one-click unsubscribe, and leaving is
immediate and permanent — we keep a suppression record so you are not contacted again. Refusing
marketing never affects your registration or anything you need in order to attend.
5. Messages you will receive
Event-related messages are sent by email, SMS, RCS, and WhatsApp, using the contact details
you supply. These include your confirmation, badge, joining instructions, and any change to the
Event.
Marketing about future Zak events is sent through the same channels. You are enrolled when
you register and can leave at any time — every marketing message carries an unsubscribe link,
and you can email database@zakconferences.com. Opting out of marketing does not stop the
messages you need in order to attend.
6. Who we share it with
- Exhibitors — only where you ask us to, or where you allow an exhibitor to scan your badge
at their stand. Scanning your badge shares your name, organisation, job title and contact
details with that exhibitor, who then becomes an independent controller of that copy.
- Our service providers — hosting, email, SMS/WhatsApp delivery, payment processing, badge
printing. They act on our instructions only.
- The venue and security — where required for access control or safety.
- Authorities — where the law requires it.
We do not sell or rent your data, and we do not share our contact lists with third parties
for their own marketing.
7. How long we keep your data
We keep Event records for 8 years. Indian law requires financial records to be kept for
that period, and registration, attendance and payment records document the same transaction,
so we apply one period to all of them rather than keeping part of a record and discarding
the rest.
| Data |
Kept for |
| Registration and badge records |
8 years after the Event |
| Payment and tax records |
8 years, as Indian tax law requires |
| Marketing contact details |
Until you unsubscribe, then a suppression record is kept so we do not contact you again |
After that period, data is deleted or irreversibly anonymised.
8. Cookies
We use cookies to keep you signed in during registration, remember your preferences, and
measure how the site is used. You can refuse non-essential cookies; refusing essential
cookies will prevent you from completing a registration, because we cannot keep your session.
9. Your rights
Under the DPDP Act you may access a summary of your data, ask us to correct or complete
it, ask us to erase it, withdraw consent, nominate someone to exercise your rights
if you die or become incapacitated, and complain to us and then to the Data Protection
Board of India.
If you are in the EEA or UK, GDPR additionally gives you the right to restrict or
object to processing, to data portability, and not to be subject to solely automated
decisions with legal effect. We do not make automated decisions of that kind.
To exercise any of these, email database@zakconferences.com or the Grievance Officer in section 2.
Withdrawing consent is as easy as giving it, and does not affect processing already carried out.
Withdrawing consent for registration will cancel your registration, because we cannot admit
someone whose badge and entry records we may not process. Paid tickets remain non-refundable —
see the Terms and Conditions.
10. Children
The Event is strictly for those aged 18 and over. Children below 18 and infants in arms are
not admitted to the exhibition halls. Registration is therefore open only to adults, and we do
not knowingly collect the personal data of a child. If we learn that a registration was made by
or on behalf of someone under 18, we will delete it.
11. Security
Access to personal data is limited to authorised staff who need it. Data is transmitted over
encrypted connections, held on secured servers, and access is logged. No system is perfectly
secure; if a breach affects your data we will notify you and the Data Protection Board of India
as the DPDP Act requires.
12. Changes
We may update this policy. The version in force is always published at
https://expo.zak.glass/privacy, with its effective date. Where a change materially
affects how we use your data, we will tell you by email before it takes effect.
